What is Microsoft Power Apps?
Power Apps is Microsoft's low-code platform for building business applications. It exists to solve a specific, very common problem: a process that has outgrown a spreadsheet but is nowhere near big enough to justify custom software development.
Canvas apps and model-driven apps
There are two ways to build, and the choice matters. Canvas apps start with a blank screen and let you place controls exactly where you want them, connecting to almost any data source — a SharePoint list, Excel, SQL, an external service. They suit task-focused apps with a deliberately designed interface, especially on mobile: inspections, requests, checklists.
Model-driven apps work the other way around. You define the data and relationships first in Dataverse, and the interface is largely generated for you. They suit case management and record-keeping systems where consistency and relational data matter more than pixel-level design. Most of what we build for clients is canvas; model-driven earns its place when the data model is the hard part.
Where the data lives
For many apps a SharePoint list is a perfectly good home — it is included in your licensing, familiar to administrators, and adequate for moderate volumes. Dataverse is the premium option, offering proper relational structure, richer security and better performance at scale, and it requires premium licensing. Choosing the cheaper option and outgrowing it later is a real cost, so we make this call deliberately at design time rather than discovering it in month six.
Apps people actually use
The apps that succeed tend to replace something people already resent: paper forms re-keyed by hand, a leave request that lives in an email chain, an asset register nobody trusts, a safety inspection completed on a clipboard and typed up later. They are most successful when embedded where people already work — inside Microsoft Teams or on a SharePoint page — rather than being another link staff must remember.

Low-code makes building easy, which means it also makes accumulating fragile, undocumented apps easy. The usual failure is an app built by one enthusiastic person who then changes roles, leaving something business-critical that nobody can modify. What can we build with Power Apps?
Usually the spreadsheets and paper forms a business has outgrown: leave and expense requests, site inspections, asset registers, onboarding checklists, incident reporting, equipment bookings and approval workflows. A good rule of thumb — if a process currently runs on email chains and a shared spreadsheet, and people complain about it, it is a strong Power Apps candidate.
Is Power Apps included in our Microsoft 365 licence?
Microsoft 365 includes limited Power Apps capability, which is enough for apps built on SharePoint and Microsoft 365 data and covers a surprising amount of ground. Premium features — Dataverse, connections to external and on-premises systems, and certain connectors — need a Power Apps Premium licence. We work out which side of that line your idea falls on before anything gets built, not after.
What is the difference between Power Apps and Power Automate?
Power Apps is the interface people interact with; Power Automate is the automation running behind it. Most real solutions use both — an app to capture information, and a flow to route approvals, send notifications and update records.
